For growing businesses

Your team is busy.
So why do jobs take so long?

Most work spends more time waiting than being done. We find where yours waits and clear it. Then we put AI where it saves real time, and check that it did.

Which sounds like you?

Not sure?

Why jobs take so long

Put in one of your own jobs.

Pick a job your firm does often. Tell us how long it takes from start to finish, and how much of that is actual work. We'll show you where the time goes.

Today
AI on the tasks only
Clear the waiting, then add AI

A rough estimate, not a promise: it assumes AI halves the hands-on work and that clearing hand-offs and sign-offs removes about half of the waiting, which is typical of where we start. Your real figures come from our two-week review.

Watch the work move

AI speeds up whatever you point it at, including the waiting and the rework. So we clear the hold-up first.

An engineering firm's orders, passed from person to person until the customer pays. Every sheet of paper is a job. A pile on someone's desk is work waiting. An illustration, not client figures.

0jobs paid in a typical month
0 daysfrom enquiry to paid, on average
0 daysof that actually worked on
0enquiries a month that went elsewhere

Today: every quote waits on the boss's desk. The pile grows, the workshop runs short of jobs, and new enquiries go elsewhere.

The two-minute check

Where does your work get stuck?

Four questions about how work runs in your firm. You get the likely hold-up, why we think so, and the first thing to try this week. Nothing is sent anywhere.

1. When a job stalls, what is it usually waiting for?
2. Which sounds most like Monday morning?
3. Win one more big contract tomorrow. What breaks first?
4. How does your team feel about AI?

How we help

Four ways we clear the way.

The methods large organisations use to get work moving, sized for a firm like yours.

Delivery and flow

Find where work waits

We follow real jobs from start to finish and show you where they stall, and why.

AI enablement

Set up AI safely

One approved tool on the firm's accounts, a one-page policy, and your team using it on their own work.

Product and build

Build what's missing

Automations and small tools for jobs no off-the-shelf software does well, owned by you.

Training and coaching

Keep it going

A part-time AI lead and hands-on training, so the skills stay with your team.

How we work, and what it costs

What we measure

What changes, and how we know.

Before we start, we agree the numbers that matter to you and measure them. Each quarter you get a written report on what moved.

Job timeStart to finish on a typical job
Quote turnaroundEnquiry to price in the customer's hands
Reply timeHow long a customer waits for an answer
Work finishedJobs completed per person per month
Hours backChecked each quarter, from your own figures

What you can count on

AI that doesn't put your business at risk.

The worry we hear most isn't about the technology. It's about getting it wrong. So the rules come first.

Your data

Stays on your accounts

AI runs on your firm's own accounts with a written use policy, not on staff's personal logins. We never take your data away.

Accuracy

A person checks the output

AI drafts. Your people check and sign off. We set up where checking happens, so nothing goes out unread.

Your accounts

Nothing hosted on ours

Your accounts, your bills, your data, your code. The tools and routines we set up run on accounts in your firm's name, billed to you by the supplier, so you can see what you pay for and nothing stops if we stop. synoia, if you choose it, is our own app under its own agreement.

Getting started

Three ways to start.

Most firms start here

Two-week review

£1,950

We follow your real jobs, find where they wait and what your team already uses AI for, and give you five costed fixes, whether or not you hire us.

What's included
30 days

Launch

£3,950

The review, a use policy, AI set up safely, a team day and two quick fixes on your worst hold-up. Includes 12 months of synoia.

What's included
Monthly

A part-time AI lead

From £1,150 a month

One person who owns the plan, from one day a month, with specialists brought in only when a job needs them.

What's included

Prices exclude VAT. We take a small number of clients at a time, so we can give each one proper attention.

Book a call

Start with a conversation.

45 minutes by video, or in person at your premises. You'll leave knowing where your work waits, and three things worth trying, whether or not we work together. Within one working day you get a written recap of what we heard and, if it fits, a proposal for the two-week review.

What we ask in the first conversation
Book a call

Who we help

Growing firms that are busy, but not getting faster.

Accountants and solicitors, engineering and manufacturing firms, logistics, construction, care and hospitality. Different trades, the same four situations.

Growing

"We can't take on more work without hiring."

You've won the work. Now it has to survive your capacity. Every new contract means another hire, and the jobs already on the go keep slipping.

What we'd do

  • Follow real jobs from start to finish and show you where they wait
  • Start less and finish more, so jobs stop queuing
  • Get what your firm knows out of a few heads and into one place
  • Hand the routine paperwork and hand-offs to AI

First step: the two-week review, £1,950.

Getting started with AI

"We don't know where to start with AI."

Everyone says you should use it. Your staff already do, on their own accounts. Nobody can tell you what's safe, or what's worth it for a firm your size.

What we'd do

  • Half a day with you and your partners or board: where AI pays back, and what's safe
  • A one-page use policy and one approved tool on the firm's accounts
  • The two or three jobs where it pays back first
  • A hands-on day for your team, on their own work

First step: a board AI session, £950, or the two-week review, £1,950.

Stalled

"We bought the tools and nothing changed."

The licences are paid for. A few people use them. The pilot faded when the person who cared about it got busy.

What we'd do

  • Find out why it stalled. It's usually the work around the tool, not the tool
  • Aim the tools at the hold-up that actually costs you
  • Ready-made routines for your five most common jobs
  • A part-time lead who keeps it going after the first month

First step: Launch, £3,950, or a Claude Cowork rollout, £2,950.

Signs it's this

  • Lots of people log in, but jobs take as long as they did
  • AI was added to the old way of working, so nothing was stopped or simplified
  • Nobody is sure when to trust what it writes, or when to check it
  • It saves time on tasks, but the time goes back into waiting and rework
Levelled off

"Our customers expect more than they used to."

You established yourself, then levelled off. Competitors quote and reply faster, and the way you worked last year won't keep up.

What we'd do

  • Ask your customers what they actually choose you for, with your agreement on every question
  • Show you where you stand, in their words
  • Speed up that work first, and leave the rest alone
  • Quotes and replies in hours, drafted from what your firm already knows

First step: the two-week review with customer conversations, from £1,950.

In your trade

The jobs that wait, in your words.

Accountants and solicitors

Year-ends waiting on client records

New matters stuck at onboarding, finished work waiting to be billed, and fee earners pulled into admin.

Engineering and manufacturing

Quotes stuck in the RFQ queue

Every quote needs your most experienced people, so enquiries wait while the shop floor runs.

Logistics and distribution

Delivered, but not invoiced

PODs that take days to reach the office, and customers ringing for updates.

Construction and trades

Tenders and subcontractor prices

Bid packs that eat evenings, prices you're still chasing, and valuations that lag the work.

How we help

How we work, and what it costs.

Every engagement starts small and estimates, from your own figures, what it should save or earn. All prices exclude VAT.

How we work

Five steps from busy to fast.

The methods that make big organisations flow, cut down to the size of yours. Every engagement walks the same line.

  3. 03

    Focus

The few bets worth making now, and what to stop.

    Accelerate

AI aimed at the bottleneck: Claude, Copilot, automation, your own tools.

  5. 05

Two weeks to find where your work waits, and where AI pays back.

  • Five opportunities, each with a cost, a likely saving and a payback period
  • A draft AI use policy, ready for you to adopt

£4,950

Two weeks. One working tool your business owns.

For a job no off-the-shelf software does well.

What you get

  • A small tool built with Claude Code by our associates, tested and documented
  • Handover to your team, and coaching for anyone who wants to keep building
  • The code we write for you is yours, in your own accounts

Monthly

A part-time AI lead

Sometimes called a fractional Chief AI Officer.

Your AI lead, inside your leadership team, for as long as it earns its place.

Three-month first term, then monthly with 30 days' notice.

Light

£1,150 a month

One day a month. For firms of 10 to 30 people.

Steady

£2,200 a month

Two days a month. For firms of 30 to 100.

Lead

£4,200 a month

Four days a month. For firms of 100 to 250, or a heavy first year.

All three include

  • A monthly meeting with you and your leadership team
  • Your AI roadmap, use policy and risk register, owned and kept current
  • Tool choices and supplier conversations, with no referral fees taken
  • Running the associates on your work, under one contract
  • A written report each quarter: hours saved, money earned, what we stop
  • 12 months of synoia for your whole firm, free

What you're paying for. Someone who owns the plan, keeps the rules current and measures what changed, with set time from your lead each month. Not a count of automations. Builds are quoted separately, so the retainer never has to invent work to justify itself.

What about months with nothing to build? Those are often the months it's working. Your lead still checks the numbers against the baseline, keeps the policy and approved tools up to date as suppliers change them, reviews the AI features your software suppliers add, coaches the people using the routines, and finds the next place work waits. If several months in a row are genuinely quiet, we'll tell you, and suggest a lighter tier.

Fixed price or quoted

Smaller pieces of work

A day, a session or one job done properly. Fixed prices where we can; otherwise a quote agreed before we start, with a cap the price can't go over without your written agreement.

Team AI day

£995

A full hands-on day for up to 12 people, on their own work. Everyone leaves with something they will use on Monday.

Board AI session

£950

Half a day with your owners or board: where AI pays back, what is safe, and what to fund first.

Automation

Connecting the systems you already pay for so quotes, orders, invoices and follow-ups move without retyping.

Your firm's knowledge

Getting procedures, bids and know-how written down where your team and your AI can find them, on the tools you already use or in synoia. For the whole job, see the knowledge set-up below.

Systems and reporting

Getting your finance, stock and reporting systems talking to each other, so the numbers you need are there without a spreadsheet marathon.

Your firm's knowledge

AI is only as good as what it can find.

Most firms keep what they know in inboxes, shared drives and a few people's heads. AI can't use what it can't find, and it can't trust what nobody keeps up to date. So we organise what you know first, and AI pays back faster.

Good data

One current version

Records that are kept up to date, with someone responsible for each, so people and AI work from the right version.

A clear structure

Shaped like your work

Folders, fields and templates that follow how your firm actually runs: clients, jobs, suppliers, procedures.

Shared meaning

The same words for the same things

We agree what your terms mean and how they connect, sometimes called an ontology, so a "job" or a "client" means one thing to everyone, and to your AI.

Built on the tools you already use

Google Workspace, Microsoft 365 and SharePoint, Notion, Confluence, or wherever your team already works. We bring them together, set the structure and the habits that keep it current, and point your AI at it. No new platform unless you want one.

Or use synoia

synoia is the knowledge app we built for firms like yours. It's one option, not a requirement. Launch and every part-time AI lead include 12 months of it free.

Fixed price · about 30 days

Knowledge set-up

Price on request

For firms where the blocker is "our AI can't find anything".

More than a team day, less than Launch: we make what your firm knows findable, by your people and by your AI, and prove it.

What you get

  • The three to five jobs where finding things costs you most, and where that knowledge actually lives
  • A check of who can see what, fixed before any AI is connected
  • A simple structure shaped like your work (clients, jobs, suppliers, procedures), with an owner and a review date for each area
  • A one-page glossary, so a "job" or a "client" means one thing to everyone
  • The context files your firm's AI reads first: who you are, how you work, your terms and where things live
  • Your AI connected to it, on the tools you already use or in synoia
  • The retrieval test: 20 questions your staff really ask, with the right answers written down first, including a few your AI must not be able to answer, such as anything HR keeps private
  • A short handover: who keeps it current, and when we re-test

How we know it worked

The retrieval test, run before handover. Our target is the right answer, with its source, at least four times in five, and nothing restricted found.

Agentic research and agentic engineering

Research and software, built with AI agents. Your information stays yours.

AI agents can gather evidence and write software far faster than people can. Done carelessly, they leak what's yours and get things wrong. Done our way, you keep control of your information, and every result is checked by a person.

Agentic research

Evidence you can trace

  • Market and competitor scans, product evidence and the facts behind a bid or a business case
  • Agents gather; a second pass checks every claim against its source; a claim we can't trace is dropped
  • Customer and staff research run by people, with consent, and names and details removed before any AI sees it
  • Analysis on our own private AI, on our own hardware, so nothing anyone tells us goes into a public AI service
Agentic engineering

Software that's checked, and yours

  • AI agents write much of the code, inside a way of working that keeps it safe
  • A written specification and tests agreed before any code is written
  • Small changes, each reviewed by a person, and accepted by a named person the way your users will use it
  • Working software in front of real users, often within about two weeks; the code is yours

Two ways to have it

We do it for you

Our team, our tools, your results

We run the research or the build, on our own private AI or on the cloud AI your policy approves. You own what we find and make for you; we keep our own method and tools.

We help you set it up

Your team, your tools, our method

We set up the same practice inside your firm, on your own accounts and tools, with the checks built in, and coach your people until they run it without us.

Research is quoted after a first call. A build starts with our two-week build sprint, £4,950.

An illustrative example

What the first 90 days can look like.

A made-up firm, to show the shape of the work. Not a client.

Illustrative · accountancy practice · 40 people · Salisbury

Weeks 1 to 2, the review. Staff were using four different AI chat tools on personal accounts, some with client figures. Month-end packs took two people three days.

Month 1, rules and tools. One approved tool on the firm's account, a one-page use policy, and a half-hour briefing for everyone.

Months 2 to 3, do the work. An associate automates the month-end pack drafting. A team AI day for the managers. A target of one day saved each month-end, checked at the quarter.

Questions

Straight answers.

What is a fractional Chief AI Officer?

A senior person who does the Chief AI Officer job for several businesses, part time. You get the judgement and accountability of the role without a full-time salary.

Which AI tools do you work with?

All the main ones: Claude, ChatGPT, Microsoft Copilot, Google Gemini, open models such as Mistral and Llama, and the AI already built into software you pay for. We're working towards Anthropic's Claude partner certification, and we recommend whichever tool fits. We take no referral fees, so our advice isn't for sale.

Why not just send the team on an AI course?

Do, if they need it. We run team days too. But a course teaches the tools. It doesn't decide which work AI should take, set the rules, or check it paid off. That's the job.

Someone has offered us a 30-day AI launch. How is this different?

A launch delivers a fixed list in a month. We start by finding which list is worth doing, then stay to keep it working and choose what's next. If a fast build is the right move, an associate does it.

Do you sell a platform or a plugin?

No. We don't sell a tool, so we've no reason to steer you to one. What we build or set up for you is yours to keep, on your own accounts.

Who owns what you make for us?

You do: the policy, the routines, the plans and any code we write for you. What we keep is what we brought: our method, our templates and general routines that aren't about your business. That's how we can start quickly and keep prices down.

What happens in a month with nothing to build?

Your lead still owns the plan: checking the numbers, keeping the rules and tools current, reviewing what your suppliers add, coaching your people and finding the next hold-up. You pay for that, and for set time each month, not for a count of automations. If it stays quiet for months, we'll say so and suggest a lighter tier.

Do you guarantee results?

No, and be wary of anyone who does. Before any work starts we agree, from your own figures, what it should save or earn, and we report each quarter on what actually moved. If it isn't earning its place, you can stop on 30 days' notice after the first three months.

Do we have to use synoia?

No. Launch and every retainer include 12 months of it free, whatever your size, because a shared memory makes AI far more useful. If something you already use does the job, we'll build on that instead.

What are Claude Cowork and Claude Code?

Two tools from Anthropic. Cowork lets Claude work alongside your team on files and everyday tasks. Claude Code builds software. We set up either one safely, train your people, and measure what it saves.

Is our data safe?

Rules come before tools. The first month sets what data may go where, and every associate works to those rules. For research and builds we can work on our own private AI, so nothing goes into a public AI service. We hold Cyber Essentials Plus, the government-backed security certification.

We have fewer than 10 people. Is this for us?

Start with Sightline. For many small firms the review and its 90-day plan are all they need.

What if it isn't working?

After the first three months, give 30 days' notice. You keep the policy, the plan and everything we built for you.

Not sure which fits? Ask.

The associate network

Specialists who work the way we do.

Every associate runs their own practice. Go to them directly through their own website, or come to us for one of our core services, where Matt leads the work and brings them in when a job needs depth.

Go to them directly

Their practice, their terms.

Visit an associate's website or book time with them from their profile below. You agree the work with them, on their terms, and they invoice you.

Through Everyday Advantage

One plan, one lead, one invoice.

For the two-week review, Launch and the part-time AI lead, Matt leads the work and answers for the result. When a job needs depth he brings in an associate: you meet them first, agree a capped price, and they work under our contract and your data rules.

The network

Meet the associates.

Independent specialists, each with their own practice. Go to them directly, or ask us to bring them in.

How we choose associates

What we ask of every associate.

Known to us

No cold listings

Every associate is someone we have worked alongside or know well. Nobody is listed from a cold application.

Credentials

Checked when it matters

Profiles show only what we have confirmed. Where a qualification matters to your job, we check it with the body that awarded it before we bring them in.

Cover

Insured for the work

Before we bring an associate into your work, we confirm they hold professional indemnity insurance for it.

Rules

Your data rules, our contract

When we bring them in, they work under our agreement and your AI use policy, inside your accounts, never their own.

Independence

No commissions

We take no referral fees from software suppliers, so what we recommend isn't for sale.

Accountability

Clear who answers

Work through Everyday Advantage: Matt answers for the result. Work booked directly: the associate does, under their own terms.

Not sure who you need? We'll point you to the right person.

Why Everyday Advantage

Small gains, every working day.

Most businesses don't need a big AI project. They need the work that waits every day cleared, then AI put where it saves real time. Small gains, made every working day, add up to an edge.

That is the job. We stand a little outside your business, find the next gain, make it, and measure what changed.

Matt Odell

Your lead

Matt Odell

Founder · Andover

I've spent my career helping organisations find where work gets stuck, build the right thing, and get people to use it. I also built synoia, an app for keeping what a firm knows in one place.

AI has made that work faster than ever. It has also made it riskier when nobody is steering. Everyday Advantage is how I bring the same discipline to businesses close to home: one person who owns it, a bench of specialists I trust, and plain answers about what is worth doing.

Why we start with the work, not the build.

We've seen how AI projects go wrong. Someone builds a set of automations, quickly and impressively. They run on the builder's accounts, so the firm can't see or change them. Usage bills arrive that nobody expected. A few people try the tools, then drift back to the old way. And when the builder moves on, nobody can explain how the process works.

We do it the other way round: find the job that's actually slow, set the rules, build only what that job needs, on your accounts, with your people trained to run it. Then we check the numbers moved.

Your accounts, your bills, your data, your code. Nothing hosted on ours.

How we work

Plain answers

If AI won't help with something, we'll tell you. Saying no to the wrong work is part of the job.

Your tools, on merit

No pitch and no demo. 45 minutes on how work actually moves in your firm. Here's what we'll ask, so you can think about it first.

First, recording. We'll ask whether you're happy for us to record and transcribe the call so we can write it up properly. We record only if you say yes. The recording stays with us and is deleted once the write-up is done.

The five questions

  1. 01

Walk us through one piece of work, from request to done. Where does it sit waiting?

  2. 02

Who already uses AI here, including on personal accounts? Nobody gets judged on the answer.

  3. 03

What would count as success in 90 days, and how would you know?

  4. 04

What must never go into an AI tool here?

  5. 05

Who checks the work today, and what happens when it's wrong?

Then we play it back. What we heard, what usually causes it, the first thing we'd try, and how you'd know it worked.

Afterwards. Within one working day: a written recap of what we heard and, if there's a fit, a proposal for the two-week review. If there isn't a fit, the recap says so, and it's yours to keep.
